Coaching Agreement and Confidentiality Policy
Part 1: The agreement
Between Jay Dee of Uncovering Intimacy and you, the client accepting it.
1. The discovery call. Free, one per couple, and there is no obligation to continue afterwards.
2. If you go ahead. Your order confirmation names your plan and what you pay, and it forms part of this agreement. How many sessions each four weeks buys you is set out on the plan page you bought from. The price follows the household income range you selected, which I take on trust. Every plan also includes email support between sessions, the private support forum, and the monthly Couple’s Night.
3. Sessions. Up to an hour. Often shorter once we start making real progress. I do not stretch a session to fill the clock.
4. Moving or missing a session. 24 hours notice and I reschedule free. Less than that, and it’s at my discretion. No-shows are counted. If I cancel, we’ll reschedule. I will give as much notice as possible, but I’m a volunteer firefighter, so once in a while that will be short notice.
5. Unused sessions. Carry over into the next four weeks, then expire.
6. Stopping. You can cancel any time, no reason needed. It takes effect at the end of the four weeks you have paid for, and that payment is not refunded. I can also end it at any time, and I will refund the unused part of the current four weeks unless clause 7 applies.
7. Where I stop. If I conclude there is ongoing violence, or a pattern of acute fear and control, in your relationship, I end the coaching immediately and the current four weeks are not refunded. I may or may not give my reasons depending on whether or not I think it’s safe.
8. What this is not. I am a coach, not a licensed counsellor, therapist, psychologist or physician. This is not therapy, medical care or legal advice, and not a substitute for any of them. The legal privilege protecting a therapist’s records does not cover mine. If I believe you need licensed care I will say so.
9. No promised outcome. I cannot promise any particular result. Ultimately, I am making recommendations, it’s up to you to implement them, and in the case of marriage coaching, for both of you to change the marriage.
10. Recording. Every call, including the discovery call, is recorded so a transcript can be made. This is a condition of working with me, not an option. Part 2 covers what happens to it.
11. My materials. Worksheets and courses I give you are for you and your spouse. Please do not share, republish or resell them without permission. If you wish to share it, let me know and we can work something out.
12. If something goes wrong. Tell me first. Failing that, my total liability is limited to the fees you paid me in your previous three payments.
13. Affiliate links. Links to other people’s products may earn me a commission. You are never expected to buy anything I recommend, mine or anyone else’s.
14. Law. This agreement is governed by the laws of Saskatchewan, Canada.
This is the whole agreement. Changes must be in writing and agreed by both of us.
Part 2: What happens to what you tell me
Part of this agreement.
What I keep
- The transcript of each session.
- A voice profile, so the transcript knows who said what. These are stored as calculations, not playable audio.
- Your worksheets and check-ins, our emails, my notes.
- The recording itself is deleted within 14 days. What I keep long term is text.
Where it lives
- On hardware I own – not an external provider.
- Behind authentication. Backups are encrypted before they leave my machine.
- Searchable by semantic meaning, indexed on my own machine, with a second copy that has the names stripped out for my own analysis.
- I am the only person with access to your records.
Where AI is involved
- Transcription, the voice profile and the search index all run on my own machine. Your audio never leaves it.
- After a session I use AI to draft your recap, which may include portions of it being shared with AI servers. That is the one point your session content leaves my hardware.
- I do not permit our conversations to be used to train AI models.
- I read and edit everything before it reaches you.
When I would break confidence
- If someone is at imminent risk of serious harm, including suicide.
- Abuse or neglect of a child or a vulnerable adult.
- If I am legally required to.
Otherwise I do not discuss your situation with anyone, apart from talking things through with my wife. She has no access to your records, and she holds what I tell her in the same confidence I do.
If you are a couple
- The couple is my client, not either of you individually.
- I will not help either of you deceive the other.
- I cannot promise to remember who told me what. If something must never reach your spouse, tell a counsellor, not me.
Your story is not my content
- I will not use your story or your words publicly without your permission.
- I do describe patterns across clients in aggregate. Nothing identifying.
How long I keep it
- Indefinitely. If you come back in five years I would rather not ask you to start from the beginning.
- Ask me to delete it and I will.
- One caveat: my encrypted backups roll for up to a year, so a copy can sit there after I delete the live one. Nobody reads them.
